Divisions and Units Associated with the Dean of the College

- Media and Government Communication

The Media and Government Communication Section is directly affiliated with the Dean of the College administratively and organizationally. It is a section corresponding to the Department of Media and Government Communication at the University Presidency. The section focuses on the goals of the Deanship of the College, its policies, various activities and media outputs, highlighting its educational and academic identity in the required manner, strengthening and supporting the Deanship's relationship with its members and external community, consolidating positive concepts about it, highlighting its achievements to enhance its position and strengthening its relations with various parties. It is concerned with media activities and events that serve the college with its students, professors and members in a way that reflects a clear image of the reality of the college and the movement of creativity in it and simulating the development in the media according to the available capabilities. The duties and tasks of the division include:

- Covering and documenting the scientific activities of the faculty, student research and seminars and publishing them on the college's website.

- Documenting and publishing the college's activities in conferences, seminars and various activities.

- Introducing the college's professors and scholars who played a role in the scientific process and introducing their achievements and scientific publications.

The division is divided into two units:

1- Public Relations Unit, the most important of which are:

- Monitoring complaints and comments received on the college's official websites and social media pages and preparing appropriate answers and responses to them.

- Participating in preparing media materials, educational publications, and awareness campaigns.

- Organizing meetings, receiving delegations, officials, and college visitors, and communicating appropriately with visiting parties to the college.

2- Media Unit, the most important of which are:

- Introducing the vision, mission, and goals of the college at the local, Arab, and international levels, by publishing scientific and academic news on social media and the college's website in cooperation with the website unit.

- Media coverage of the college's scientific activities such as workshops, conferences and seminars.

- Writing news for all activities in the college.

- Photographing and documenting scientific events, activities and scientific and community events.

 

- Library

The library of the College of Computer Science and Information Technology is one of the important departments that the college relies on to achieve its goals. The library contains more than two thousand books and the library is seriously seeking to introduce new advanced services such as Internet service, digital library service and electronic library system. Its mission seeks to provide beneficiaries with a developed environment and valuable information sources that contribute to supporting education, learning and scientific research. The library aims to support curricula in a way that enhances the university's scientific history, and it also aims to cooperate with other libraries inside and outside to provide services to beneficiaries. It also provides the best various information services by appropriate means. And provides information to professors and research students related to innovative research that enriches and develops human knowledge.

- Internal Audit and Control

 The tasks of the division's work are to audit and follow up on the work of the Finance Division in the college, as the Control and Audit Division was created according to the university order No. (M.R.J.3082) on (14/12/2023). The work of the division expanded to include all units and divisions of the college as well as the Finance Division and all departments in the college to include auditing the work of all affiliates, maintenance work in the college, revenues, disbursements and wages of all kinds, and its most important tasks are:

- Follow up and audit the college's accounts in government banks and daily and monthly deposits and disbursements.

- Follow up and audit all advances before and after disbursement.

- Follow up the salary lists of the affiliates and audit them periodically before they are disbursed and make sure that they are matched.

- Follow up and audit the input and output of inventory and all receipts and reconcile them with the disbursement processes.

- Follow up the work of all units and divisions of the college and periodically audit the accuracy of the work.

 

Units:

- Dean's Office

 It is the important link between the Dean and the scientific departments, divisions and administrative units, where the unit manages the Dean's office for the morning and evening studies, organises the work between the administrative units and the periodic meetings of the College Council, in addition to organising appointments and receiving all incoming external mail to the college and organising the mail from the Dean's office to the Dean directly and following up the Dean's mail and everything related to the secret pen from incoming and outgoing secret books. The most important tasks include:

- Receiving and hosting personalities, officials and invitees to seminars and conferences organised by the college in the Dean's office.

- Receiving and welcoming the members of the discussion committee for one of the college's postgraduate students who are external members in the Dean's Office.

- Completing the requirements for the weekly meetings of the Faculty Council, which are held in the Dean's office.

- Organise the Dean's meetings with faculty, staff, students and external reviewers.

- Organise the Dean's regular and confidential correspondence and mail and record it in special records.

- Receive the college's confidential mail, enter the recipient's number and issue the college's confidential books.

- Answering the books received by the Office of the President of the University and the Ministry shall be exclusively from the Dean's Office.

- Follow up and scrutinise all books and memos received by divisions, units and branches coming to the Dean's office

 

- College Council Secretariat

 It is the body that deals with the meetings of the College Council - the highest scientific and administrative authority in the college - which consists of the heads of scientific departments, as well as the assistant dean for scientific affairs and the assistant dean for administrative affairs. On the other hand, it organises the meetings of the College Council [which are held every two weeks] and documents the minutes of the meetings, and performs the following duties

1- Preparing the agenda of the College Council meeting, so that its paragraphs can be discussed during the session.

2- Preparing the minutes of the Faculty Council, which includes everything that was discussed, approved, amended, or rejected in the Council's session, and presenting the minutes to the Dean (Chairman of the Council) for signature, and then sending them to the Secretariat of the University Council for ratification.

3- Informing the heads of departments, scientific collaborator and administrative collaborator to ratify the minutes of the Faculty Council when they are received from the Secretariat of the University Council to start implementing what has been approved and ratified.

4- Documenting the minutes of the college departmental councils and obtaining the approval of the Dean (Chairman of the Council), and referring the topics that need the approval of the University Council to the Secretariat of the University Council in order to present them to the members of the University Council and take the appropriate decision on them.

5- Follow up the implementation of the decisions of the College Council.

- Citizens' Affairs

 The unit is administratively linked to the Dean's Office and handles all requests and complaints of citizens (auditors, students, teachers and employees). The unit performs the following tasks:

- Receiving citizens and receiving their complaints or requests by filling out a special form for the unit and presenting it to the Dean and taking the necessary action according to the directives.

- Follow up complaints and requests in the divisions and units of the college until the final action is taken and inform the owner of the request through review, call or email.

- Receiving requests or inquiries via email and answering them.
